Five Questions for Your Next AI Help Desk Demo

Written by CloudRadial | November 5, 2026

You've probably sat through this demo already. Maybe twice this month.

The rep gets to the good slide. It's a chart, and the line goes down. Tickets, down and to the right. Everyone nods, because who doesn't like a line that goes down?

Then the call ends, and nobody asked the obvious question.

Where did they go?

A ticket you never saw isn't a problem you solved

Some of those tickets really were handled. Fine. But some belonged to people who typed a question, got a confident non-answer, and gave up. That doesn't show up on the chart. It shows up three weeks later as a cranky email to your account manager.

For an MSP, the ticket isn't paperwork. It's how you prove the SLA, how you bill, and how you show a client what you did at the QBR. We made the full case in why ticket quality beats ticket volume, so we won't relitigate it here.

What we want to talk about is the demo. AI for the help desk is everywhere right now, and there are a lot of tools to sort through. The fastest way to tell them apart isn't the feature list. It's the questions you ask in the room.

Here are the five we'd ask. And to keep it fair, here's how we answer each one for CloudRadial ChatAI.

Five questions for the demo room

"Where does every conversation end up?"

You want one answer: in your PSA. Not "in our dashboard." Not "only when the AI couldn't handle it."

Our answer: Every ChatAI conversation creates or updates a ticket in your PSA. Every one. It works with ConnectWise Manage, Autotask, HaloPSA, Syncro and Kaseya BMS, and tickets land on the board and status you pick, so they count toward your SLAs and reporting like anything else.

That's on purpose. ChatAI isn't built to make your tickets disappear. It's built to make them better.

"What happens when the AI isn't sure, or nobody's around?"

This is where a lot of demos get quiet. Ask anyway. You want to hear what the person on the other end of the chat actually experiences when things don't go to plan.

Our answer: Nobody gets ghosted. At minimum, the conversation captures a ticket. If something breaks, ChatAI tells the user and points them to another way to reach you instead of failing silently.

And you don't need someone watching a live queue all day for that to work. Live chat is optional. A user can log a complete ticket through chat after hours, and your team picks it up in the morning.

You can see this for yourself on Chat Starter, our free tier: the structured dialog without AI, two client channels, one service channel, your PSA connected, and live chat escalation when you want it. Setup is quick, but Teams and Slack need admin consent, so give yourself a little time for that.

"Who checks the AI's work?"

If the answer is "nobody, that's the point," keep your wallet in your pocket.

Our answer: On ChatAI Pro and above, the AI Responder interviews the user, summarizes the conversation, and writes the ticket: a clear title, a real description, what's already been tried. Then the conversation goes to a live agent for review. Every time.

You'll notice the difference the first time a tech opens one. "Printer not working" becomes something closer to "Canon printing blank pages." Your tech's first move is confirming, not interrogating.

We walked through the AI Responder in more detail in the ChatAI 3.0 launch post, and in how AI ticket triage works for MSPs.

"Can my clients get to a person without fighting the bot?"

Everyone's been trapped in a chatbot that won't let go. Your clients have too. Ask how many questions the AI asks before a human is an option, and who decides.

Our answer: You do. Ricky Cecchini, our VP of Communications, put it well on a recent Office Hours: there's an art to not annoying people with AI. So you decide how much the AI asks before a person steps in, and there's always a clean way to reach a human.

When someone does need a live agent, the chat lands in your service channel in Teams or Slack with the context already there. Your client and your tech don't even have to be on the same platform. A client in Slack can chat with a tech working in Teams.

"Who decides what it's allowed to do?"

AI that can do anything is AI you have to babysit.

Our answer: You do, again. ChatAI isn't a general-purpose assistant, and it isn't autonomous. It runs the dialog you've set up, with AI working at specific points inside it. It won't make up a fix or pretend it can see systems you haven't connected. Each partner's data stays in its own tenant, there's no learning across partners, and the AI runs on models hosted in Microsoft Azure.

If data handling is high on your list, our guide to choosing an AI MSP platform goes further on what to ask. And if you want a quick gut check on the habits these tools are supposed to fix, five ticket triage myths is a good companion read.

Frequently Asked Questions

How should an MSP evaluate an AI help desk tool?

Start with where the conversations end up. A good tool puts every request into your PSA as a ticket, has a clear plan for when the AI isn't sure, keeps a human reviewing what the AI handled, makes it easy to reach a person, and lets you decide what it's allowed to do. In CloudRadial ChatAI, every conversation creates or updates a PSA ticket, and AI-handled conversations go to a live agent for review.

Why is ticket deflection the wrong goal for an MSP?

Because MSPs run SLAs, billing and client reporting on tickets. A request that never becomes a ticket is work you can't track, bill or show at a QBR. A better goal is a better ticket: complete, clear and ready for a technician.

What should happen when an AI chatbot can't help?

The user shouldn't be left hanging. At minimum, the request should be captured as a ticket, and if something breaks, the user should be told and given another way to reach you. CloudRadial ChatAI is designed to work that way.

Does CloudRadial ChatAI create a ticket for every conversation?

Yes. Every conversation creates or updates a ticket in your PSA. The goal is better tickets, not fewer.

Do I need AI to use ChatAI?

No. Chat Starter is free and includes the structured dialog, two client channels, one service channel, PSA integration, unlimited agents and live chat escalation, without AI. The AI Responder is on ChatAI Pro and above.

Which PSAs does ChatAI work with?

ConnectWise Manage, Autotask, HaloPSA, Syncro and Kaseya BMS.
